Terms & Conditions
These terms & conditions of hire (“Terms and Conditions”) govern the rental hire of the premises by us to you.
Deposit:
A non‑refundable, non‑transferable deposit is required to confirm your booking. Payment of the deposit confirms that you accept these Terms and Conditions and is part payment of the total cost.
Terms of Payment:
Ten (10) days prior to your arrival date, we will issue an invoice based on your advised attendance numbers and requirements. This invoice must be paid in full five (5) days before arrival. Payment is accepted by direct credit to our bank account. Any additional costs incurred during your stay must be paid within seven (7) days after departure.
Minimum Charges:
Charges are based on the greater of:
The total of your group size multiplied by the per‑night rate, or
· The applicable minimum group charge per night.
If your group size falls below the minimum charge, the minimum group charge will apply.
Booking Confirmation:
Your provisional booking will be held for twenty‑one (21) days from the invoice date. If payment is not received within that period, we may release the booking dates without notice.
Cancellations:
All cancellations must be made in writing.
If cancelled within ninety (90) days of arrival, the minimum group charge per night booked will apply.
· If cancelled more than ninety (90) days before arrival, no additional charges apply.
In all cases, the deposit will be retained as reasonable compensation for preparation and holding the booking.
Public Holiday Surcharge:
Bookings that include public holidays may incur a surcharge of $2,000 per public holiday day. This will be discussed prior to confirmation.
Early Arrival Fee:
Early arrival may be available subject to operational requirements and other bookings. A fee of $90 per hour (or part thereof) applies.
Late Departure Fee:
Departures later than 1:00pm on weekdays or 2:00pm on Fridays and Sundays will incur a late departure fee of $600.
Exclusive Use:
Groups of over eighty (80) people will have exclusive use of the Carey Park main building facilities. Smaller groups may be required to share these facilities with other groups.
Activities and the gymnasium building are not exclusive and may be used by other groups on site.
Numbers:
You must confirm your expected attendance numbers at least twelve (12) days before arrival (the “Advance Number”). Charges are based on this number.
· If fewer people attend, charges still apply based on the Advance Number unless the minimum group charge applies.
· A 50% refund may be provided for individual non‑attendance due to medical reasons, supported by a medical certificate.
· If attendance exceeds the Advance Number, additional charges will apply.
Special
Requirements:
All special requirements (including meal plans, catering options, meal types, duties to be performed by your group, and dietary or allergy needs) must be advised at least twelve (12) days prior to arrival.
Charges apply based on the information provided. Requirements advised later cannot be guaranteed.
Responsibility of Group:
The nominated primary contact person is responsible for the conduct and supervision of the group during the stay. A waiver of liability the Terms and Conditions of hire is required for loss, damage, injury, or death.
Behaviour and Compliance:
Your group must:
· Comply with all laws and local authority requirements.
· Avoid excessive noise.
· Pay any fines or penalties incurred due to non‑compliance will be charged to you.
Your group must not:
· Cause any nuisance; breach any laws, either as a group or individually.
· Behave in any way which would cause disturbance.
· Act in a manner that invalidate our insurance policies.
Other:
· Any items you bring onto the premises must be removed before you depart.
· Temporary structures, decorations, or external catering may only be used with prior written approval.
· Temporary structure may require a building consent or permit from the local authority any building consent/permit is your responsibility.
· We will not accept any responsibility or liability for the delivery or collection of your personal, hired or third-party goods.
· No items are to be pinned, nailed or glued to the wall surface either internally or externally.
· We reserve the right to exclude or eject from the premises, either before, during or after your camp, without liability, any person whom at our sole discretion we consider to be objectionable, improper or undesirable.
Marketing:
As part of our marketing, you understand that we take and use photographs of our facilities being used by groups like yourself predominately for promotional use. We will not mention any names of organisations or people and will not have any identifiable faces unless given prior approval from your organiser.
Damage:
You are responsible for all damage or loss to buildings, fixtures, equipment, or facilities during your hire period.
This includes damage caused by third‑party providers engaged by you. All repair or replacement costs must be paid by you.
Liability:
We do not accept liability for personal injury, death, or loss or damage to personal property. You agree to indemnify us against all claims, costs, or losses arising from your group’s use of the premises.
Vehicles and Property:
All vehicles are parked at the owner’s risk. We are not responsible for loss or damage to vehicles, equipment, or personal property before, during, or after your stay.
Collection Costs:
If payment is not made when due, you agree to cover all reasonable collection and legal costs incurred. Including collection agency fees and/or legal costs on a solicitor-client basis.
Price Increases:
While we aim to maintain stable pricing, we reserve the right to adjust prices if necessary. Any changes will be discussed with you as soon as practicable.
Authorised Changes:
Only the named authorised person(s) may approve charges or make changes to booking details.
Force Majeure:
Neither party will be liable for failure to meet obligations due to events beyond reasonable control, including natural disasters, extreme weather, or civil disturbance, prevent either you or us from carrying out our respective obligations under these Terms and Conditions, neither you nor us shall be liable for the non-performance under these Terms and Conditions.

We share responsibility for safety and health to ensure you will have a safe and enjoyable time at camp. Maintaining the well-being of all participants, we've outlined the following:
· Activity Identification: We've identified the specific activities your group will be participating in.
· Risk Assessment: We've assessed the potential risks associated with these activities.
· Risk Mitigation: We've implemented measures to minimize these risks, such as safety procedures and regular audits.
· Group Input: We value your input and encourage you to share any suggestions for improving safety.

· Group Conduct: You are responsible for the behaviour of your group members and ensuring they adhere to our safety guidelines.
· Physical and Mental Fitness: All participants should be in good physical and mental health to participate in the activities.
· Substance Use: Participants must refrain from using alcohol, drugs, or other substances that may impair their judgment or ability to participate safely.
· Risk Awareness: Participants should be aware of the inherent risks involved in outdoor activities, including potential injuries and adverse weather conditions.
· Compliance with Rules: Participants must follow all rules, instructions, and directions provided by our staff.
· Consent and Supervision: Parents or guardians of minors must provide consent for their participation, and adults supervising children must be competent to do so.

Risk Disclosure
Acknowledgement of General Risks For Your Safety:
One Big Adventure creates experiences, challenges, opportunities and situations that stretch, build and grow people not just in the moment, but for life. We recognise that in providing these experiences through various activities, these have associated health and safety risks. We take steps to mitigate these risks and work together with you to do so. In the following we outline, Information regarding activities, the risks associated with them, the steps we have taken and would like you to take to mitigate them.
Risk Disclosure Statement:
Certain risks and hazards are inherent in outdoor activities we cannot eliminate them without destroying the unique character of the outdoors. However, Carey Park Christian Camp will identify foreseeable risks or hazards and implement correct management strategies along with the availability and suitability of ways to eliminate or minimise the risk.
Our systems meet national guidelines. We encourage you to ask questions about the activities you or your group members will be involved in gaining a better understanding of the risks involved.
You or your group members may take part in camp activities such as archery, bush exploration, campfire, climbing wall, cooking, crate stacking, flying fox, games, high ropes / low ropes course, kayaking, orienteering, sports, swimming, team building.
The safety of each individual is of the utmost importance. You will find relevant risk information on our website www.onebigadventure.org.nz for all activities. We recommend you share this information with the participants in your group to make sure they are fully aware of the potential risks they may encounter.
We may alter the program, in order to ensure the safety and well-being of all participants. Substituted programs will be more appropriate to the circumstances. Instructors and the camp Director have the discretion to stand down participants for repeated or severe misbehaviour during activities. If compromised participant safety, instructors may and will stop an activity.
Certain activities offered at Carey Park Christian Camp are supervised by adults and adult/parent helpers after receiving training from camp instructors.
Instructors hold current first aid certification. There is no doctor on site. However, ambulance services have direct access to Camp with Waitakere Hospital being located close by. Health & Safety Consultation You acknowledge you have:
